This explains what sendingsnags collects, how it is used, and how you can get a copy of your data, or delete it. We collect only what the app needs to build and keep your snag report. sendingsnags is currently an invite-only beta, so you will need an invite code to create an account. You can request a code by joining the waitlist on our homepage.

Who we are

sendingsnags is operated by Fixtures and Finishes Ltd (company number 17415644), a company registered in England and Wales.

Fixtures and Finishes Ltd (trading as sendingsnags) is the data controller responsible for your personal data. We use this data to help you, a UK new-build buyer, turn your own walkthrough of your home into a snag report you can send to your developer or housing provider. The report is built from what you record. We do not visit your property and we do not inspect anything ourselves.

What we collect

Your email address, your property details (address, developer or housing provider, your name and the walkthrough date), and everything you record on your walkthrough: room checks, snags, observations and the photos you take.

When you publish, we keep your report as a PDF and a saved snapshot, plus its version history, tracker and timeline, including any dates you log about sending your report and complaint.

When you buy Report or Plus in the iOS app, we keep Apple's transaction id, the product, the home it is for (a Report is for one home; Plus covers your account) and whether it was refunded. We never see your card details, because Apple takes the payment.

If Apple refunds a purchase, any home the refund leaves without Report or Plus goes back to Free, its report PDFs are deleted from our storage, and your snags, photos and notes stay.

To run the invite-only beta we operate a waitlist. When you join the waitlist via our homepage, or request a code in the app, we store your email address, any request note you share, where you joined from and when. We use this to decide who to invite and to contact you about your access to the application. We do not use the information collected for the waitlist for anything else.

If the email submitted for the waitlist is connected to an existing sendingsnags account, we do not add it to the waitlist. Instead, we will email that address a link to sign in.

We do not collect anything for advertising, and we do not build profiles of you.

Why we can use your data

We use your account, property and walkthrough data to provide the service you signed up for. We use your waitlist details because we have a legitimate interest in running a fair invite-only beta and telling you when your place is ready.

We keep a record of what you buy so we can give you what you paid for. After your account is deleted we keep one anonymous reference per Apple purchase, because we have a legitimate interest in stopping a purchase being used twice and in letting Plus be restored to a new account on the same Apple ID.

Where it is stored

Your account, snags, photos and reports are stored in the UK (London region). Some processing happens outside the UK: the text you send to the AI features is handled by our AI provider, as described in "How we use AI" below, and error reports are handled by our error-monitoring provider, as described below.

We use a small set of providers to run the service: to host the app and files, to run the parts that need a server, to power the AI, to send emails (sign-in links, reminders and waitlist emails), and to tell us when something in the app goes wrong.

When the app hits an error, a short technical report goes to our error-monitoring provider, Sentry, and is stored in the EU (Frankfurt). It includes the screen you were on, your browser and device type, and the error itself. It is set up not to include your snag text, your photos or your sign-in details. Sentry is a US company, so some of its handling can take place in the United States, under the UK's approved safeguards for transfers.

When you buy in the iOS app, Apple takes the payment as its own controller, under its own privacy policy, rather than as one of our providers. Apple tells us only the transaction id, the product and whether a purchase was refunded.

We do not sell your data or share it with your developer, housing provider, letting agent, or anyone else for their own purposes.

Cookies

We do not use cookies, and there are no analytics or tracking scripts in the app or on our landing page. The app does retain a small amount of information in your browser's own storage on your device: your signed-in session, the record that you accepted the terms, and display preferences. This exists only to provide the service, and none of this information is used to track you.

If we ever add analytics or non-essential data collection, we will update this notice and ask for your consent where the law requires it.

How we use AI

When the app suggests wording or a grade, or answers a question in Ask the guide, it sends the text you wrote or the question you asked to our AI provider, Anthropic. It sends this from our server, never from your device. That text is processed in the United States, outside the UK. It does not send your photos.

The first time the app would send your text to Anthropic, it asks your permission. If you choose Don't allow, AI suggestions stay off and nothing is sent. We keep a record of your choice with your account.

Anthropic keeps the text it processes, and the suggestion it returns, for up to 30 days, and does not use it to train its models.

You enter the values and the AI only suggests, so you can change or ignore anything it offers. You can also turn AI suggestions off on the account screen, and when they are off none of your text is sent to the AI provider.

How long we keep it

We keep your data for as long as your account exists, and delete it when you ask. Backups are kept for a short period and then expire.

We keep waitlist entries until the beta ends, then delete them.

We keep your purchase records for as long as your account exists. After your account is deleted we keep one anonymous reference per Apple purchase: Apple's original transaction id, the product and whether it was refunded, with no link to your account. We keep it for as long as the app sells in-app purchases, so Plus can still be restored.

If you contact us about partnering

If you email partners@sendingsnags.com about working with us, for example as a conveyancer, we keep what you send. That is usually your name, role, firm and work email address, details about your firm such as how many completions it handles and how many branches it has, and how you heard about us.

We use it only to reply to you and to discuss a partnership with your firm, because we have a legitimate interest in doing that. We do not send you marketing emails unless you agree to them.

Your enquiry is handled in Google Workspace, our email provider, and HubSpot, the tool we use to keep track of partner conversations. We have chosen the EU as Google Workspace's storage region, and HubSpot keeps it in Germany. Both are US companies, so some of their handling can take place in the United States. For HubSpot, that is under the UK's approved safeguards for transfers. We are confirming the safeguard Google uses and will name it here.

We keep an enquiry for 2 years after our last contact with you, then delete it. You can ask us to delete it sooner by emailing partners@sendingsnags.com.

Your rights

Under UK data protection law you can view your data, correct it, delete it (the right to erasure), export a copy, and object to or restrict how we use your data. To export or delete your data, use the tools on the account screen, "Export all my data" and "Delete my account". Alternatively, you can request we complete this on your behalf by contacting us at support@sendingsnags.com.

You can ask us to delete or export your personal data at any time. We aim to answer a request regarding your rights within one month, as the law requires, and aim to respond within 2 working days during the beta period.

You can also complain to the Information Commissioner's Office. We are registered with the ICO as a data controller, registration reference ZC230268.

Deleting your data

On the account screen, choose "Delete my account" and confirm. This immediately removes everything connected to your account from our live systems: every property, room, snag, photo, report, tracker and timeline entry, and your sign-in.

Reports you bought are deleted with your account. Plus can be restored with the same Apple ID.

It cannot be undone, so export your data first if you want to keep a copy. A copy may remain in an encrypted backup for a short period before it expires. You can also ask us to delete your data by email.

Waitlist entries are not part of an account, so deleting an account does not remove them. You can leave the waitlist at any time by emailing us.

Questions, or want us to act on any of the above? Email support@sendingsnags.com. We reply within 2 working days during the beta.
